Create an app password for Office 365

An app password is a code that gives an app or device permission to access your Office 365 account.
If your admin has turned on multi-factor authentication for your organization, and you’re using apps that connect to your Office 365 account, you’ll need to generate an app password so the app can connect to Office 365. For example, if you’re using Outlook 2016 or earlier with Office 365, you’ll need to create an app password.
Check whether your Office 365 admin has turned on multi-factor authentication for your account. If they haven’t, when you try to do these steps you won’t see the options in Office 365.
Sign in to Office 365 with your work or school account with your password like you normally do. After you choose Sign in, you’ll see this page:
Choose Set it up now.
Select your authentication method and then follow the prompts on the page. Or, watch the video to learn more.
After you verify your alternate contact method, choose Next.
You’ll get an app password that you can use with Outlook, Apple Mail, etc. Choose the copy icon to copy the password to your clipboard. You won’t need to memorize this password.
To create another app password
Sign in to Office 365 and go to the My Account page.
Choose Security & Privacy > Additional security verification. You’ll only see this option if your admin has set up multi-factor authentication for your organization. If you don’t see this option, contact your Office 365 admin and tell them to turn on multi-factor authentication.
Choose Update my phone numbers used for account security. This will display the following page:
At the top of the page, choose App Passwords.
Choose create to get an app password.
If prompted, type a name for your app password, and click Next.
Choose copy password to clipboard. You won’t need to memorize this password.
Tip: If you create another app password, you’ll be prompted to name it. For example, you might name it «Outlook.»
Go to the app that you want to connect to your Office 365 account. When prompted to enter a password, paste the app password in the box.
To use the app password in Outlook
You’ll need to do these steps once.
Open Outlook, such as Outlook 2010, 2013, or 2016.
Wherever you’re prompted for your password, paste the app password in the box. For example, if you’ve already added your account to Outlook, when prompted paste the app password here:
Or, if you’re adding your Office 365 account to Outlook, enter your app password here:
To delete app passwords for one or more users
Sign in to Microsoft 365 admin center.
Go to Users > Active users.
Select a user(s) and choose Manage multi-factor authentication. Or, click here.
Select the users you want to change (multiple selections are supported).
Choose Manage user settings.
Select Delete all existing app passwords generated by selected users.
Sign in using App Passwords
An App Password is a 16-digit passcode that gives a non-Google app or device permission to access your Google Account. App Passwords can only be used with accounts that have 2-Step Verification turned on.
When to use App Passwords
To help keep your account secure, use «Sign in with Google» to connect apps to your Google Account. If the app you’re using doesn’t offer this option, you can either:
- Use App Passwords to connect to your Google Account
- Switch to a more secure app
Create & use App Passwords
Note: If you use 2-Step-Verification and are seeing a «password incorrect» error when trying to access your Google Account, an App Password may solve the problem.
- Go to your Google Account.
- On the left navigation panel, choose Security.
- On the «Signing in to Google» panel, choose App Passwords. If you don’t see this option:
- 2-Step Verification is not set up for your account.
- 2-Step Verification is set up for security keys only.
- Your account is through work, school, or other organization.
- You’ve turned on Advanced Protection for your account.
- At the bottom, choose Select app and choose the app you’re using.
- Choose Select device and choose the device you’re using.
- Choose Generate.
- Follow the instructions to enter the App Password. The App Password is the 16-character code in the yellow bar on your device.
- Choose Done.
Most of the time, you’ll only have to enter an App Password once per app or device, so don’t worry about memorizing it.
Why you may need an App Password
When you use 2-Step Verification, some apps or devices may be blocked from accessing your Google Account. App Passwords are a way to let the blocked app or device access your Google Account.
Tip: Whenever possible, connect apps to your Google Account by selecting the «Sign in with Google» option available in many apps.
App passwords revoked after password change
To help protect your account, your app passwords are revoked when you change your Google Account password. You can always create a new app password to continue using an app with your Google Account.
Tip: If the app offers «Sign in with Google,» we recommend using that feature to connect the app to your Google Account.
Every App Password is only used once. You can always generate a new App Password whenever you need one, even for a device or application you’ve authorized before.
If you’re using an app not made by Google and can’t sign in, that app’s sign-in process might not be secure. Try updating to the latest version of the app and look for the «Sign in with Google» option that’s available in many apps. You can also consider switching to a more secure app.
If you’re having trouble signing in to your Google Account with Microsoft Outlook, you can:
- Use «Sign in with Google»
- Try signing in to Outlook using your Google Account username. Make sure you’re using the latest version of the Outlook app or program.
- Use an App Password
- If your Google Account has 2-Step Verification turned on and you can’t use «Sign in with Google,» you can use an App Password.
How to Generate Google App Specific Password for 2-Step Verification
A few days back I have enabled Google 2 Step verification to improve the security of my Google account. Since, I use one Email address for most of my Google services (Gmail, AdWords..), to ensure my login is more secured.
2 step verification is a very important step for the security of your account.
Now, once you enable 2-step account verification, you might find it little troublesome initially to set up your accounts on different devices. For example, if you are setting up Gmail on iPhone or Gmail on iPad, you need to create one time Google Application specific passwords.
For many other services, you can use Google Authenticator app (Android version, iOS version) to generate one-time verification password. In this guide, we will learn how to create Application specific Google password for users who have enabled 2-step verification.
Creating Application Specific Password for Google 2-Step Verification:
I assume you have already setup 2 step verification on your Gmail/Google account. If you have not done it yet, this page will have all the information you need to set up 2 step verification for your account.
Once you have done the setup and using Gmail on Outlook or on iOS devices, you will get errors saying “Wrong password”. All you need to do is, create one-time Application specific password, and use it to setup your Gmail account on iOS or other mail clients you are using.

- To get started, log in to your Google authorized application page here, and log in with your Google password.
- On the page, look for “Generate new application-specific password” and give a name for the application you are generating a password for. Ex: Email on Mac
- Click on generate. And on the next page, you will see the new password, that you can use on your device. Do remember, if you refresh the page or go back, you need to generate the password again.
Now, if you ever lost access to your device, all you need to do is: Go to the same page and revoke access. This will make sure that your stolen/lost device can not access your Google account.
It may sound like an extra step for your Google account, but I highly recommend to use Google 2-step verification, as it will ensure the safety of your account. If you wish to know more about safety and security of Google account, refer to following articles:

How to generate app-specific passwords with iCloud on iPhone, iPad, and Mac
Apple requires all third-party apps that use iCloud to store data to use app-specific passwords for added protection.
App-specific passwords ensure that your Apple ID isn’t compromised if you need to add your iCloud account to a third-party email, calendar, or contact manager app. It creates a password that those third-party apps will store instead. It is just another layer of protection that will ensure you’re protected from nefarious activities.
You’ll need to have two-factor authentication enabled in order to generate app-specific passwords. Two-factor authentication is different than two-step verification.
Note: Whenever you change your Apple ID, all of your app-specific passwords will automatically be revoked and you’ll have to generate new app-specific passwords for each app again.
How to generate an app-specific password
- Navigate to Appleid.apple.com from your web browser and sign in with your Apple ID and Password.
- Verify your identity with two-factor authentication.
Under the Security section, select Generate Passwords.
If you don’t see the option to generate app-specific passwords, you’ll need to enable two-factor authentication, which is different than two-step verification.
Select Create.
Copy the app-specific password you generated.
From now on, the app you just generated the app-specific password for will use this specific password in order to access iCloud. If you every have to re-enter your iCloud password, use this app-specific password again.
How to view a list of your app-specific passwords
Apple lets you store up to 25 active app-specific passwords at one time. You can view a list of passwords you’ve generated for apps to ensure you still need them. You won’t be able to see the actual password, but you can view the label you entered and the date it was created.
- Navigate to Appleid.apple.com from your web browser and sign in with your Apple ID and Password.
Verify your identity with two-factor authentication.
You’ll be able to see the label for every app-specific password you’ve created. Take a look at the list to make sure you’re still using iCloud with those third-party apps.
How to revoke app-specific passwords
If you have any app-specific passwords for apps that you no longer use, you can revoke the password, which will also revoke access for that third-party app to iCloud. If you want to use that third-party app again, you’ll need to generate a new app-specific password.
- Navigate to Appleid.apple.com from your web browser and sign in with your Apple ID and Password.
- Verify your identity with two-factor authentication.
Under the Security section, select Edit.
Select Done when you are finished.
You can also select Revoke All to revoke access to all app-specific passwords you’ve created.
